How would you support our success?
As a Billing and Collections Specialist at Silverfin, you will play a vital role in ensuring the smooth and efficient operation of our order-to-cash process. With your client-focused approach, you will be the financial point-of-contact for both our external clients and internal stakeholders, managing the accounts receivable process from end to end. This includes accurately issuing invoices, following up on outstanding payments, and reconciling accounts. You are the operational backbone of the entire revenue cycle, ensuring timely and accurate cash flow while maintaining high customer satisfaction. You will work within the Finance cluster of the BizOps team and report to the Revenue Controller, where you will operate in a close "player-coach" relationship. This means you will not only execute core daily tasks but also actively benefit from the Revenue Controller's expertise and coaching to continuously refine and improve your processes and skills.
Your responsibilities
Communication & Stakeholder Management
- Primary Financial Contact: You will be the primary point of contact for both external clients and internal stakeholders, such as sales representatives, business unit managers, and customer success managers.
- Contractual Communication: You will be responsible for communication linked to orders, invoices, contracts, and usage, ensuring clarity and professionalism in all interactions.
- Dispute Resolution: Manage, track, and resolve billing disputes and customer queries promptly and professionally, acting as the primary point of contact for external billing-related questions.
Billing & Invoicing Management
- Accurate Invoice Posting: Own the end-to-end billing cycle. This includes accurately checking and posting sales invoices triggered by our automated subscription engine, and manually processing credit notes, adjustments, and one-off professional services invoices.
- Data Integrity: Ensure the smooth flow of data from the CRM (Salesforce) and CPQ tools into the financial and billing systems, actively working with RevOps/Sales to maintain clean and current customer billing information.
- Process Execution: Execute the full invoicing cycle across all regions and product lines, ensuring accuracy and adherence to specific contractual terms and local tax/compliance requirements.
Revenue Accounting & Deferred Revenue Management
- Revenue Recognition Understanding: Demonstrate a foundational understanding of the principles governing revenue recognition, particularly for subscription-based revenue (ARR) as per relevant accounting standards (BEGAAP).
- Deferred Revenue Proactiveness: Actively manage and monitor the deferred revenue balances associated with pre-paid subscriptions. Ensure all billing activities (invoicing, adjustments, credit notes) are processed accurately and timely so that the automated revenue recognition entries flow correctly.
- Monthly Closing Accuracy: Take ownership of the data integrity that feeds the revenue engine. Proactively identify and resolve discrepancies between recognized revenue, cash received, and deferred revenue balances before month-end closing procedures begin.
- System Alignment: Collaborate closely with the Revenue Controller to ensure that contract terms, usage data, and billing schedules are correctly configured in the billing and accounting tools to support accurate revenue booking and deferred revenue calculation.
Accounts Receivable & Collections
- Collections Strategy Execution: Reviewing all outstanding balances and ensuring that outstanding invoices are paid to terms. Diligently manage the accounts receivable aging report.
- Leveraging Automation: Utilize our automated workflow tool to facilitate your collections work to a maximum extent, ensuring efficiency and consistency in follow-up.
- Customer Follow-up: Proactively communicate with customers regarding overdue payments through structured follow-ups (email, phone), maintaining a professional and firm, yet customer-centric, approach.
- Payment Processing & Reconciliation: Process and apply incoming customer payments accurately. Assist in the monthly closing process by reconciling the Accounts Receivable ledger to the General Ledger.
- Bad Debt Monitoring: Monitor accounts for potential credit risk and assist the Revenue Controller in bad debt provisions.
Reporting & Process Improvement
- Operational Reporting: Monitoring outstanding debt evolution and related items on a recurring basis. Provide regular reports to the Revenue Controller on key metrics, including Days Sales Outstanding (DSO) and aging balances.
- Monthly Closing Support: Work closely with our Revenue Controller to ensure a timely and accurate monthly closing process linked to revenue and accounts receivable.
- Process Improvement Support: Actively participate in the review and improvement of the billing and collections processes.
What would success look like?
- Cash Flow and Collections Excellence: The company consistently maintains a healthy cash flow profile, driven by your efficient management of Accounts Receivable, resulting in Days Sales Outstanding (DSO) that meets or beats the company target of 30-60. You resolve complex collection cases diplomatically and effectively, keeping the volume of overdue accounts (90+ days) below 5% of total AR.
- Revenue Data Integrity: You demonstrate a high level of responsibility and technical understanding regarding revenue recognition. You proactively manage the deferred revenue balances, ensuring zero material discrepancies are identified during the monthly close, allowing the Revenue Controller to rely fully on your data for accurate financial reporting.
- Operational Efficiency: You are recognized as an autonomous and efficient operator, completing all monthly billing cycles and reconciliation inputs required for the financial close by the defined deadline Day 1. Your dedication to system accuracy keeps the invoice error rate below 3%.
- Client and Stakeholder Trust: You are viewed as a helpful, professional, and reliable point-of-contact by both external clients and internal stakeholders (Sales, CSMs). You resolve queries quickly and clearly, effectively balancing the need for firm collections with maintaining strong customer relationships.
- Process Ownership and Growth: You actively embrace the player-coach relationship with the Revenue Controller, consistently seeking out and proposing tangible improvements to the order-to-cash workflow, leading to measurable gains in efficiency and operational predictability.
Experience and Qualifications
- A Bachelor's degree (or equivalent professional qualification) in Finance, Accounting, Business Administration, or a related field is preferred.
- +2 years operational experience in a high-volume Billing, Accounts Receivable (AR), or Collections role, preferably within a B2B SaaS or subscription-based environment.
- Demonstrable experience managing the end-to-end Order-to-Cash process.
Skills and Knowledge
- Financial Acumen: Solid fundamental knowledge of accounting principles related to revenue recognition (specifically for SaaS/subscriptions), deferred revenue, and accounts receivable reconciliation.
- System Proficiency: Strong command of Excel or Google Sheets for data tracking, analysis, and basic reporting. Proficiency in using automated collections tools and CRM systems is required.
- Communication Mastery: Excellent written and verbal communication skills in English, Dutch and French. Ability to communicate financial details clearly and diplomatically to external clients.
- Process Management: Highly organised, meticulous, and detail-oriented, with a proven focus on maintaining data accuracy throughout the billing process.
- Problem-Solving: A methodical and analytical approach to solving complex billing discrepancies and collection challenges.
