The Office Manager is at the heart of creating an environment where people thrive, work hard, work smart, decompress, and revitalize. Your primary responsibility will be to ensure our office continues to be a place of collaboration, of deep thinking, of celebration, connection, and a laboratory for experimentation and innovation, as Zoī grows and evolves.

To achieve this important ambition, we are looking for a dynamic, enthusiastic and detail-oriented person with exceptional organizational and planning skill, and a strong sensibility about best practices in well-being and experiential office design. A sensibility around best practices in well-being and experience, and an ability to  communication and interpersonal skills, with willingness to help people and solution solving mindset 

Main Missions

    • Create the best work environment to support our teams focusing with our growthManaging day-to-day office operations to ensure that the office environment runs smoothly and in parallel with our company culture and business objectives while scaling Ensure the well-being of our employees by making sure that they work in the best conditions (supplies, technical equipment to perform, library, snacking, office furniture,  ...)Guarantee the highest safety standards by ensuring that all installations comply with local regulations (building, health, safety, fire codes, training, maintenance visits ..)Maintain the office condition and arrange necessary repairs Plan & organize the move

    • Be the main point of contact for vendors and service providers Manage contract and price negotiations with office vendors, service suppliers and office leaseMastering vendors and suppliers budgets and reportsManage the procurement of all office supplies, équipments and furniture, snacking, swags stocks…Managing our purchasement management with Finance Team Manage business travel

    • Partner with HR Team to improve employee experience at Zoī Contribute to offer the best onboarding experience to welcome newcomers Support our HR team to update and maintain Zoī policies (offboarding, remote, perks, travel and expenses…)Being and echo culture keeper by upholding Zoī mindsetSupport our Event Manager to organize and create new ways to delight our Team events to gather everyone and maintain a high level of engagement (happy hours, special lunch, team buildings, sharing is caring, offsites, anniversary, onsite events, ...) Collaborate to brand employer attractiveness by helping our HR Team

Ideal Candidate Profile

    • Proven first experience as an Office Management or Administrative Assistant preferably within the health tech or startup
    • Exceptional communication and interpersonal skills, with willingness to help people and solution solving mindset 
    • Strong organizational skills and attention to detail, with the ability to manage multiple priorities simultaneously
    • Curiosity, learning agility and ability to suggest improvementProficiency in Microsoft Office Suite, Gsuite, Slack, Notion
    • A passion for health and wellness, with a commitment to delivering exceptional employee experiences.
