The Office Manager is at the heart of creating an environment where people thrive, work hard, work smart, decompress, and revitalize. Your primary responsibility will be to ensure our office continues to be a place of collaboration, of deep thinking, of celebration, connection, and a laboratory for experimentation and innovation, as Zoī grows and evolves.

To achieve this important ambition, we are looking for a dynamic, enthusiastic and detail-oriented person with exceptional organizational and planning skills, as well as a strong sensibility about best practices in well-being and experiential office design.

Main Missions

    • Proactively create the best working conditions for our employees
    • Continue to evolve and implement a thoughtful workplace strategy - informed by our culture, our ambition, and our core business
    • Creatively source supplies, equipment, snacks, swag and furniture to meet Zoī standards of aesthetics, ergonomics and usability
    • Oversee the flawless execution of workplace upkeep
    • Manage and scale day-to-day office operations to ensure the office runs smoothly at 100 employees and throughout our next growth spurts
    • Guarantee the highest safety standards by ensuring that all installations comply with local regulations (building, health, safety, fire codes, training, maintenance visits ..)

    • Be the main point of contact for vendors and service providers 
    • Manage contract and price negotiations with office vendors, service suppliers and office lease
    • Manage vendors and suppliers budgets and reporting
    • Collaborate closely with the finance team on our purchasing management system
    • Manage business travel

    • Partner with HR Team to improve the overall employee experience at Zoī 
    • Contribute to building the best onboarding experience for newcomers 
    • Support our HR team to update and maintain Zoī policies (offboarding, remote, perks, travel and expenses…)
    • Support our Event Manager to organize and create new ways to delight our Team events to gather everyone and maintain a high level of engagement (happy hours, special lunch, team buildings, sharing is caring, offsites, anniversary, onsite events, ...) 
    • Collaborate on employer brand attractiveness
    • Be a culture keeper by upholding Zoī mindset

Ideal Candidate Profile

    • Proven first experience of 2-3 years in Office Management, Workplace Experience, or in the Hospitality industry
    • Exceptional communication and interpersonal skills
    • Highly proactive with a relentless solution-driven mindset 
    • Strong organizational skills and attention to detail, with the ability to manage multiple priorities simultaneously
    • Curiosity, learning agility and ability to lead improvement
    • Proficiency in Gsuite, Slack, Notion
    • A passion for health and wellness
    • Experience in health tech or startup is a plus
    • Fluent French is indispensable, strong spoken and written English skills are required.
