Volkswagen Group Services is pleased to offer an excellent opportunity for a skilled Office Administrative Technician to join our Volkswagen Digital:Hub in Spain (Barcelona). The Role

    • As an Office Administrative Technician, you will provide critical support to both our office management and leadership teams, ensuring streamlined operations and effective administrative assistance.

Your Responsibilities:

    • Assist with project kick-offs and provide ongoing support to the management team.
    • Handle office supply inventory and ordering through SAP platforms.
    • Prepare regular reports on office expenses and budgets to aid in financial oversight.
    • Maintain and update company databases, ensuring the security, integrity, and confidentiality of critical data.
    • Manage and organize a filing system for important and confidential company documents.
    • Administer office services to ensure organized operations and procedures.
    • Respond to inquiries from employees and clients, maintaining high standards of communication.
    • Update office policies as necessary to adapt to changing needs.
    • Manage the company calendar and schedule appointments to optimize time management.
    • Distribute and file correspondence, such as letters, emails, and packages.
    • Prepare reports and presentations with statistical data as assigned.
    • Organize travel arrangements and accommodations, manage registrations, and follow up on internal company applications (e.g., Cytric, Captio).
    • Schedule and facilitate internal and external events, including setting up necessary facilities.

Experience and Qualifications:

    • Prior administrative or office management experience is highly desirable.
    • Proficiency in both Spanish and English is required; knowledge of German is a plus.
    • Familiarity with SAP for ordering and billing is advantageous.
    • Strong organizational skills and the ability to manage multiple tasks efficiently.
    • Excellent communication skills and the capacity to work independently or as part of a team.
    • While a formal degree is not mandatory, relevant qualifications or certifications in administrative support or office management will be considered an asset.
