The Facilities & Office Experience Coordinator ensures the office runs smoothly and feels welcoming. The role is primarily focused on facilities operations, with supporting tasks in events and office experience.
What you'll do - Facilities
- Maintain general orderliness, cleanliness, and professionalism of the office
- Support office setup for future needs
- Perform administrative support duties
- Track and restock office and kitchen supplies
- Work with the Sr. Facilities Manager on sourcing, purchasing, and vendor management
- Act as point of contact for vendors, landlords, contractors, and maintenance teams
- Restock self‑service cabinets and manage replenishment
- Issue temporary loan laptops and update asset records
- Direct employees to proper IT support channels
- Replace meeting‑room instructions/signage as needed
- Provide remote‑hands support for global teams (with guidance)
- Work with People, IT, and Communications teams to execute agreed‑upon experience initiatives
What you'll do - Office and Event support
- Assist with event logistics, including room setup, materials preparation, and practical arrangements for team events, All Hands meetings, celebrations, workshops, customer visits, and internal comms moments under the direction of the event owners.
- Handle on‑site coordination needs such as catering, visitor coordination, and ensuring event spaces are prepared and ready.
- Create purchase orders and track approvals/deliveries for local Management Team
What you'll need
- Strong organizational skills and attention to detail
- Proactive mindset — spotting small needs before they escalate
- Ability to juggle multiple tasks, especially during events
- Clear communication in English
- Proficiency in MS Office and collaboration tools
- Ability to work independently and as part of a team
- Flexibility for occasional after‑hours support
- A positive mindset and energy that contributes to a great workplace
