We are looking for an experienced Office Manager to support the setup and ongoing operations of Symphony’s new office in Medellín, Colombia. This is a key role in establishing our local presence and ensuring that our space, people, and processes run smoothly and efficiently.
You will work closely with the Country Manager and collaborate with global teams across Operations, HR, Finance, Legal, and IT to help build a world-class working environment for our growing team in Colombia.
What would be your responsibilities if you join us?
- Office Setup & Operations
- Lead and coordinate the setup of Symphony’s physical office in Medellín, including space planning, procurement of furniture and equipment, and vendor management.
- Oversee day-to-day office operations, ensuring an organized, safe, and productive workspace.
- Manage relationships with building management, vendors, and local service providers.
- Develop and implement local office policies, procedures, and best practices.
- Compliance with local legal regulations, including SG-SST.
- Support basic financial operations such as tracking office expenses, managing vendor invoices, and preparing budget reports.
- Coordinate with the global finance team on local payments, reimbursements, and compliance matters.
- Ensure timely renewals of contracts, leases, and operational permits.
- Partner with HR to organize onboarding for new hires, ensuring they have a seamless first-day experience (workspace setup, access, materials, etc.).
- Act as the go-to person for local team members regarding office, equipment, or facility-related topics.
- Plan and coordinate internal events, team-building activities, and celebrations that promote our company culture.
- Oversee IT setup in coordination with the global IT team.
- Maintain an organized system for managing office tech assets (laptops, peripherals, access systems).
- Suggest and implement productivity or collaboration tools to improve operational efficiency.
- Serve as the local liaison with global teams for all administrative, operational, and compliance-related matters.
- Support the Country Manager with various operational initiatives as the Colombia office grows.

There are some requirements that will make you stand out:
- 3–5 years of experience in Office Management, Operations, or Administrative roles — ideally in a Tech or startup environment.
- Proven experience managing office setups or new location launches is highly desirable.
- Strong understanding of office administration systems, vendor management, and operational best practices.
- Tech-savvy: proficient in Google Workspace and collaboration tools, and comfortable learning new platforms.
- Excellent organization, prioritization, and problem-solving skills with strong attention to detail.
- Strong communication skills in English and Spanish (written and verbal).
- Proactive, resourceful, and adaptable — able to thrive in a fast-paced, evolving environment.
- Bachelor's degree in Business Administration, Management, or a related field preferred.
