Sales Administrator

We are seeking a highly organized and proactive Sales Administrator to join our growing team. In this role, you will be the backbone of our sales department, ensuring that our sales processes run smoothly and efficiently. You will handle essential administrative duties, support the Heads of Sales with order processing and customer inquiries, and proactively review our sales records. What You'll Do
- Process Orders: Receive, review, and accurately process sales orders and agreements, ensuring all pricing and product details align with current sales process guidelines.
- Manage Records: Update and maintain customer folders, records, and case studies to our exact specifications.
- Support the Heads of Sales (HOS): Generate quotes, draft proposals, and prepare sales presentations and agreements. You will also prep coaching agendas and monthly sales performance scorecards.
- Drive Team Communication: Schedule team or individual meetings, send out group communications, and follow up on critical sales deadline requirements.
- Run Reports: Compile and distribute daily, weekly, or monthly sales reports to management, highlighting key metrics and trends.
- Collaborate Cross-Functionally: Liaise with Finance for timely, accurate billing and with the Operations (OPS) department to escalate and resolve customer issues.
- Handle General Administration: Manage and organize sales meetings, take detailed minutes, and tackle other clerical tasks as needed.
What You Bring to the Table
- Education: Matric or equivalent qualification.
- Experience: 2+ years of experience in sales administration, customer service, or a general administrative role.
- Tech-Savviness: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) or Google Workspace.
- Systems Knowledge: Hands-on experience with CRM software (e.g., Salesforce, Zoho, HubSpot). Familiarity with ERP systems or order management software is a strong plus.
- Organization & Time Management: Exceptional ability to prioritize tasks and work independently under pressure.
- Communication: Strong written and verbal communication abilities.
- Attention to Detail: High accuracy and a meticulous eye for detail when handling data and records.
