Group Lease Administrator

The Lease Administrator is part of the Group Lease Accounting team within IVC Evidensia, reporting to the Group Lease Accountant. IVCE currently operates in 20 countries across the UK, Europe and North America and manages approximately 8,000 leases, equating to a total liability of around £650 million.
 
This role will work in close cooperation with country and GBS teams to manage the IVCE lease portfolio, controlling the inputs to and outputs from IVCE’s lease accounting software, ensuring any discrepancies are proactively identified and resolved, and that the global lease portfolio remains accurate and up to date.
 

Key Accountabilities / Responsibilities

 
* Abstract relevant information from lease agreements and associated documents across the Group, including asset details, start date, end date, payment amount, payment frequency and IFRS 16 relevant clauses
* Ensure compliance with lease-related policies, consulting with the Lease Accountant (Methodology & Compliance) where clarification is required
* Proactively cross-check lease data by liaising with Finance, GBS, Legal, Property and other teams across IVC to gather additional information and resolve outstanding issues
* Manage and update lease details, acquisition data, corrections and periodic registers within the lease management software, ensuring compliance with established controls and document storage processes
* Respond to lease portfolio-related queries from relevant stakeholders
* Participate in lease-related payment review and approval processes
* Update workload coordination and management systems with relevant information on lease processing status, decisions and matters arising to maintain a comprehensive audit trail
 

Experience / Qualifications

 
* Ability to work collaboratively as part of the Lease Administration team
* Methodical and organised approach to work
* Ability to work with a wide range of stakeholders to achieve shared goals
* Strong communication skills
* Excellent attention to detail
* Competent IT skills, including Microsoft Excel
* Basic understanding of lease payments, invoice processing and accounting
* Understanding of IFRS 16 lease accounting would be advantageous but is not essential
* Experience handling lease agreements or similar documents would be advantageous but is not essential
* Oracle Fusion experience would be advantageous but is not essential
