Your role:
As Event and Marketing Project Specialist, you will be the operational backbone behind grape’s marketing initiatives. This is a highly executional role with strong ownership: you’ll ensure projects move from idea to delivery: on time, on budget, and with clarity for everyone involved.
You will work across teams and with external partners to manage complex projects, coordinate stakeholders, and keep momentum high. With a strong sense of structure and accountability, you’ll bring order to fast-moving environments and make sure priorities, timelines, and responsibilities are clear and respected.
This role is ideal for someone who enjoys turning plans into action, thrives in coordination-heavy environments, and is comfortable holding others accountable to deliverables and deadlines.
What you’ll do:
- Own the planning, coordination, and execution of marketing events and creative projects from start to finish, ensuring timely and high-quality delivery.
- Act as the central point of contact for internal and external stakeholders, aligning expectations, managing dependencies, and keeping everyone on track.
- Translate high-level goals into clear project plans, timelines, milestones, playbooks, and deliverables.
- Drive accountability across teams by proactively following up, setting deadlines, and ensuring commitments are met.
- Plan and execute events such as trade shows and customer events handling logistics, vendors, budgets, timelines, and reportings.
- Manage marketing operations tools (e.g., Asana, ClickUp, or similar), ensuring projects are well-documented, transparent, and easy to follow.
- Identify risks, bottlenecks, and resource constraints early, and propose practical solutions to keep projects moving forward.
- Continuously improve processes, templates, and ways of working to increase efficiency and clarity across marketing projects.
- Track progress and outcomes, sharing clear status updates and learnings with stakeholders.
What you’ll need:
- Proven experience in PMO, event management, marketing or creative operations, or a similar execution-focused role.
- Ability to speak the language of designers and copywriters, with a solid understanding of common file types, formats, and requirements across channels (e.g., social, web, and print), enabling smooth collaboration and efficient handovers.
- Strong project management skills with the ability to juggle multiple initiatives, deadlines, and stakeholders at once.
- Hands-on experience working with project management tools such as Asana, ClickUp, or comparable platforms.
- Confidence in stakeholder management, including the ability to set expectations, demand deliverables, and follow up on timelines.
- A structured, detail-oriented mindset with a strong sense of ownership and accountability.
- Ability to stay calm and focused in fast-paced environments and adapt plans when priorities shift.
- Clear and concise communication skills in English; German or French are a plus.
