We are looking for a professional, resourceful, and bright Executive Assistant (EA) to support our Vice Presidents in managing a broad range of responsibilities. Key day to day tasks will include diary management, travel coordination, and supporting the preparation of information packs for management meetings and client work.
We are looking for a recent graduate with excellent organisational skills, a proactive mindset, and a highly collaborative, resourceful approach.
This is not a traditional Executive Assistant role. At Efficio, EAs have the opportunity to move into other areas of the business over time, including business services or management consulting, depending on their interests and performance.
Responsibilities
- Developing a strong working relationship with the VPs, quickly understanding their roles and responsibilities, their personal styles and approaches as well as the company’s culture
- Managing complex diary management across multiple time zones
- Planning and managing complex travel arrangements with awareness of VPs’ priorities and preferences
- Coordinating internal and external client meetings, ensuring seamless logistics and follow‑ups
- Managing VPs’ expenses and timesheets for timely submission and reimbursement
- Acting as an effective and appropriate conduit of information and communication between the VPs and the wider team of colleagues, appropriately representing the VPs’ voices and messaging
- Working as part of a small team of administrative staff in London and as part of the global operations team, managing key internal Board or VP-related events and assisting other VPs and senior team members during periods of staff absence.
Requirements
- Degree-educated, or equivalent qualification
- Excellent written and oral communication skills with fluent written English
- Excellent organisation skills and attention to detail
- Self-motivated and well organised; constantly thinking ahead
- Able to manage multiple activities for different people under time pressure; able to flex to different working styles and personalities
- Calm, personable and diplomatic
- Able to balance high levels of discretion with a warm, trusting and collaborative style
