We are looking for a Senior HR Operations Specialist to take full ownership of HR operational processes for our Polish legal entity. This role is focused on ensuring accurate employee lifecycle management, maintaining compliant documentation in line with Polish labor law, and coordinating closely with payroll providers, legal advisors, and internal stakeholders. The position requires a hands-on expert who can independently manage HR operations with precision, consistency, and strong legal awareness.

Responsibilities:

    • Execute and maintain all HR operational processes across the employee lifecycle for employees hired under the Polish legal entity
    • Prepare, manage, and update employment documentation in accordance with Polish labor law (employment contracts, civil contracts, amendments, terminations, certificates, etc.)
    • Ensure timely and accurate processing of hires, changes, absences, and terminations in coordination with payroll and external providers
    • Maintain complete, accurate, and audit-ready employee files and HR records
    • Ensure data accuracy and integrity in HRIS and internal systems
    • Provide operational HR support to employees and managers on employment-related topics, documentation, and absences
    • Monitor changes in Polish labor regulations and adjust HR processes and documentation accordingly
    • Support internal and external audits related to HR documentation and compliance
    • Identify opportunities to improve and standardize HR operational workflows related to the Polish entity
    • Support and manage Global Mobility processes for foreign employees hired through the Polish legal entity, including coordination of work permits, residence permits, and collaboration with external legal and relocation partners

Requirements:

    • 4+ years of experience in HR Operations, HR Administration, or HR Compliance
    • Strong practical knowledge of Polish labor law and its application in daily HR operations
    • Hands-on experience managing employment documentation in Poland
    • Experience supporting Global Mobility processes for foreign employees (work permits, residence permits, relocation coordination)
    • Experience working closely with payroll providers and external legal advisors
    • Strong understanding of the full employee lifecycle from an operational perspective
    • Experience working with HRIS systems and maintaining high-quality HR data
    • High attention to detail and strong organizational skills
    • Ability to work independently and take ownership of HR operations for a legal entity
    • Strong communication and stakeholder management skills

Nice to have:

    • Experience working in international or multi-country environments
    • Legal education or formal training in labor law
    • Experience supporting audits or labor inspections
    • Experience working with EU employment regulations and practices
    • Experience supporting HR processes during legal entity setup or restructuring
