Job Description

We are seeking an experienced and dynamic Senior Events Coordinator to join our team in Budapest. This role will oversee the planning and execution of high-profile external events for Byborg Enterprises and its entities, ensuring the success of all projects from inception to completion. The ideal candidate will excel at project management, managing and coordinating with stakeholders, negotiating contracts, and delivering exceptional event experiences. 

Key Responsibilities:

Contract Negotiation: negotiate and secure with the Event coordinators team the best contracts with venues, suppliers, and service providers to maximize value for Byborg Enterprises.
Event project management: oversee all aspects of event planning and execution, including pre-event strategy, logistics, on-site coordination, and post-event follow-up.
Event success officer: ensure the seamless execution of events, achieving or exceeding desired outcomes in terms of attendee satisfaction, brand(s) visibility, and ROI.
Budget management: maintain and monitor event budgets, ensuring cost-effectiveness while achieving high-quality results.
Stakeholder liaison: act as the primary point of contact for internal stakeholders, partners, and suppliers, maintaining excellent communication throughout the event lifecycle.
Promotion and branding: collaborate with our graphic designers and video editor teams, copywriters, etc. to develop promotional materials and branded items for events.
Documentation and reporting: organize event-related documentation using tools like Microsoft SharePoint, Teams, and Jira, and produce clear, actionable project plans and reports.
Travel coordination: manage logistics and oversee on-site execution for international events, ensuring smooth operations and real-time problem-solving.

Qualifications:

Bachelor’s degree or equivalent, combined with a minimum of +5  years of professional experience in event planning or management.
Proven leadership skills with experience in complex environments.
Exceptional negotiation and communication abilities, with a talent for building strong relationships with stakeholders, marketing functions (graphic designers, video editing team, etc.) and suppliers.
Business oriented mindset with strong focus on ROI.
Advanced organizational and time-management skills, with the ability to handle multiple projects under very tight deadlines.
Resistant to stress.
Proficient in tools such as Microsoft SharePoint, Teams, Monday.com, Excel, Jira, and Confluence.
Strong budget management and financial acumen.
Creative thinker with the ability to develop innovative event concepts.
Fluent in English; proficiency in additional languages is a plus.
Willingness to travel internationally as needed.
