Our scalable AI platform enables custom model training on global features, providing real-time, on-demand geospatial insights with impressive speed and accuracy. The application turns months of manual work into mere minutes, and with much better results. We work with customers from various domains, from intelligence and defence, local and federal governments, insurance industry, to small and large enterprises, which requires us to have a lot of flexibility on how we deploy and maintain our services.
We are looking for a proactive, detail-oriented Office Manager to ensure the smooth day-to-day operation of our office and to create a well-organized, welcoming, and engaging workplace experience.
In this role, you will be the central point of contact for all office-related matters, play a key role in planning and delivering internal and external events, and work closely with People Operations, Marketing, and Leadership. You will directly contribute to the quality of our work environment and company culture.
This is a highly visible role with room to grow, allowing you to take ownership and expand your responsibilities based on your strengths and interests.
Key Responsibilities
- Act as the first point of contact for all office-related topics and employee needs
- Ensure smooth daily office operations, including supplies, facilities, and general organization
- Manage relationships and contracts with external vendors and service providers (e.g. garage/BOE, electricity, security services, cleaning, etc.)
- Coordinate travel arrangements (flights, hotels, transport) for employees, clients, and stakeholders
- Handle hospitality arrangements for meetings, visitors, and on-site activities
- Plan, coordinate, and execute internal company events (e.g. team events, offsites, celebrations)
- Support the organization of external events, meetings, and workshops in collaboration with Marketing and Leadership
- Support administrative and onboarding tasks in coordination with People Operations
- Assist with documentation, employee records, and internal processes as needed
- Provide administrative support to the CEO and Leadership Team
- Support scheduling, coordination, and ad-hoc organizational tasks
- Assist with leadership-related events and meetings
Your profile
- You have experience in office management, event coordination, team assistance, or a similar role
- You are highly organized, proactive, and detail-oriented, with the ability to manage multiple topics in parallel
- You take pride in creating a welcoming, well-organized, and visually appealing office environment and enjoy improving how people experience the workplace
- You have a hands-on mindset and are comfortable taking ownership and following tasks through from start to finish
- You enjoy planning and coordinating events, both internal and external, and ensuring a great experience for participants
- You communicate clearly and professionally with internal teams, leadership, and external partners
- You are reliable, discreet, and comfortable working with senior stakeholders
- You have German language skills at a minimum B2 level (mandatory)
- You are fluent in English
- You are confident using common office tools (Google Workspace / MS Office); experience with HR or time-management tools is a plus

In accordance with Austrian legislation, we are disclosing the minimum remuneration fixed for this position is: 42.000,--€ gross per year ( based on full time). The effective salary depends on qualification and experience and may be significantly higher!
