Shear Metal Products, based in Cambridge, Ontario, is a well-established manufacturing/construction company with diversified interests in real estate through its two subsidiaries. These companies manage a portfolio of six Canadian properties, with additional holdings in the U.S. managed separately. Under one of the subsidiaries, this position will oversee property management and bookkeeping for the Canadian portfolio, with potential to expand to U.S. properties in the future.

Position Overview

We are looking for a skilled Part-Time Property Manager/Bookkeeper to help us maintain our properties and provide excellent service to our tenants, while ensuring the accuracy and efficiency of our financial operations. You will be responsible for the day-to-day management of our real estate assets, including bookkeeping, tenant interactions, and administration. The role will initially focus solely on Canadian properties, with potential to expand to U.S. corporations in the future. This position will report directly to the President & Vice President, with training and support provided by the General Manager and our full-time Bookkeeper. 

Key Responsibilities

    • Control commercial, industrial, and residential real estate properties.
    • Discuss terms and conditions for providing management services with client.
    • Arrange for alterations to, or maintenance, upkeep, or reconditioning of property’s as specified in management services or lessee’s agreement.
    • Direct bookkeeping functions and credit client accounts for receipts.
    • Direct preparation of financial statements and reports on status of properties, such as occupancy rates and dates of expiration of leases.
    • Perform monthly bookkeeping, including payroll, source deductions, remittances, posting entries, and invoicing.
    • Collect rents, manage billing process, and handle accounts payable/receivable.
    • Ensure timely and accurate financial documentation.
    • Address tenant inquiries and provide administration support for unit-related matters.
    • Conduct regular site visits to properties across Ontario (Kitchener, Cambridge, Collingwood, etc.)
    • Manage property-related expenses and ensure all records are up to date.
    • Maintain detailed records of all transactions and activities for real estate properties.
    • Prepare periodic financial reports as required.

Qualifications

    • Minimum 2 years’ experience in bookkeeping and/or property administration.
    • Experience working within Real Estate or property management, overseeing multiple locations would be considered a strong asset.
    • Must be proficient in Sage, Simply Accounting and Excel; experience with Easy Storage Solutions is considered an asset (training will be provided)
    • Driver’s License: Must have a valid Ontario driver’s license and willingness to travel locally to properties as needed.
    • Must be highly organized, proactive, with strong attention to detail and excellent communication skills.

Salary & Benefits

    • Vacation: 2 weeks paid vacation annually
    • Flexible work schedule: Work part-time hours across 2-5 days per week, with core hours between 10:00 a.m. – 6:00 p.m. EST
    • Hybrid Work Environment: In-office work required 2-3 days per week during probation period; option to work remotely on other days.
    • Training & Support: Comprehensive training provided by the General Manager, with direct reporting to the President.
